Avian Haven is a 501(c)(3) nonprofit wild bird rehabilitation center located in Freedom, Maine. We specialize in the care of sick, injured, and orphaned birds, treating approximately 3,000 patients per year. Position Overview
The Admissions Coordinator is often the first point of contact between the public and Avian Haven — and that first impression matters. In this role, you will field incoming calls and texts from members of the public who have found injured or orphaned birds, apply your knowledge of avian natural history to assess each situation, and guide callers through next steps with calm confidence.
You will coordinate rescue logistics, manage patient intake records, and help ensure a smooth flow of incoming patients from the front office to our care team. This position is ideal for someone who loves birds, communicates warmly and clearly under pressure, and takes real satisfaction in knowing that each call they handle may make a difference for a wild animal in need.
Duties & Responsibilities
As the frontline of Avian Haven, you will play a vital role in rescue coordination.
Primary Contact
Serve as the primary point of contact for all incoming calls and texts
Triage & Assessment
Apply knowledge of avian natural history to triage situations and assess rescue necessity and feasibility
Capture Guidance
Advise callers on safe capture and containment strategies appropriate to species and situation
Transport Coordination
Coordinate transportation logistics with rescuers and volunteer drivers
Record Keeping
Create accurate rescue and transportation records for incoming patients
Communication
Provide timely patient updates to rescuers and transporters
Patient Intake
Greet transporters and rescuers upon arrival and oversee patient intake flow
Office Management
Maintain a tidy, well-organized front office environment
Team Support
Support clinic and rehabilitation staff with general chores (bird laundry, dishes, etc.)
WHAT WE'RE LOOKING FOR
Required Qualifications
Solid working knowledge of the natural history of common Maine bird species
Ability to remain calm and organized in a fast-paced environment
Proficiency with Google Maps and online tools
Residence within commuting distance of Freedom, Maine
Excellent telephone manner and communication skills
Familiarity with Maine geography and towns statewide
Working knowledge of Google Suite
Reliable transportation and valid Maine driver's license
Desirable Qualifications
Experience working in wildlife rehabilitation or animal care
Familiarity with safe handling of wild birds
Multilingual communication skills

Compensation
Commensurate with experience
This is a full-time, onsite, seasonal position running June through October, with the possibility of reduced hours during the winter months. The schedule will be determined based on organizational needs and candidate availability. On-the-job training will be provided. Wage is commensurate with experience and skill set.
